A booked job is a caller who talked to your AI and got an appointment on the calendar. Done — no action needed from you until the job day.

A captured lead is a caller who talked to your AI, left their info, but didn't book. Maybe they weren't ready, maybe they wanted to think about it, maybe the calendar wasn't available. These are warm leads. Someone needs to follow up.

Finding Unbooked Leads in Your Dashboard

  1. Go to app.calllegend.com
  2. Click Call History
  3. Filter by Lead Status → Captured (Not Booked)

This shows every caller who engaged with your AI but didn't end up on the calendar. Work this list daily. These are your hottest unbooked leads.

A Simple Follow-Up Script

When you call back a captured lead, use this:

"Hey [Name], this is [Your Name] from [Business Name]. I'm following up on your call earlier — you were asking about [service from transcript]. Do you still need that taken care of? I have an opening [day/time] if that works for you."

Keep it short. You already know what they need from the transcript — no awkward re-qualifying. You're just closing.

Setting Up Automatic Follow-Up

To automate follow-up so you don't have to remember:

  1. Go to Automations → Follow-Up Sequence
  2. Set trigger: Lead Captured (Not Booked)
  3. Add Step 1: SMS at 1 hour after call
  4. Add Step 2: SMS next morning at 8am
  5. Save and enable

Your AI handles the first two touches automatically. You review any replies and close the ones that engage.

Leads contacted within 5 minutes of their initial inquiry are 9x more likely to convert than those contacted an hour later. Your AI captures the lead immediately. You or your automation should follow up while they're still thinking about you.
